Privacy Policy

1. Who We Are
Afiacity Healthcare Hub ("we", "us", "our") is a healthcare consulting, education, and data services company based in Nairobi, Kenya. We are committed to protecting and respecting your privacy in accordance with the Kenya Data Protection Act, 2019.
2. Information We Collect
We collect information you provide directly when you:
- Fill out a contact or inquiry form (name, email, phone number, message)
- Sign up for education or training interest lists (name, email, role, company)
- Book a consultation (name, contact details, service preferences)
- Contact us via WhatsApp, email, or phone
- Choose to share a medicine-pack photo through our Pharma Scan tool (see below)
We do not collect payment or financial information through this website.
Pharma Scan photos
Our Pharma Scan tool lets you check a medicine against Kenya's PPB register. By default the photo you take stays on your device and is never uploaded. We only store a photo if you tick the optional consent box, in which case we keep the image and the product name you entered to help build and improve our free medicines database. Please avoid capturing any patient names, prescriptions, or other personal details in the photo. You can ask us to delete a photo you shared at any time using the contact details below.
3. How We Use Your Information
We use your personal data to:
- Respond to your inquiries and provide requested services
- Follow up on consultation bookings
- Notify you about services you have expressed interest in
- Improve our website and service offerings
- Comply with legal obligations under Kenyan law
4. Data Sharing
We do not sell, rent, or trade your personal information to third parties. We may share data only with:
- Service providers who help us operate our business (e.g., email hosting, website hosting) under strict confidentiality
- Google, as our analytics provider, if you accept analytics cookies (see section 8)
- Regulatory authorities when required by Kenyan law
5. Data Retention
We retain your personal data only as long as necessary to fulfil the purpose it was collected for, or as required by law. Inquiry records are retained for up to 24 months after last contact unless you request earlier deletion.
6. Your Rights
Under the Kenya Data Protection Act, 2019, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your personal data
- Object to processing of your data
- Lodge a complaint with the Office of the Data Protection Commissioner
To exercise any of these rights, contact us via WhatsApp on +254 789 382 193.
7. Data Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet is 100% secure.
8. Cookies and Analytics
We use two kinds of cookies and similar storage on this website:
- Essential — required for the website to function, for example remembering your cookie choice and keeping you signed in to the admin or POS areas. These are always active and cannot be switched off.
- Analytics (optional) — we use Google Analytics 4 to understand how many people visit the site, which pages they read, and roughly where they are visiting from. This helps us decide what to publish and improve. These cookies are set only if you accept them.
When you first visit, we show a banner asking whether you accept analytics cookies. Until you accept, no Google Analytics script is loaded and no analytics cookies are set. If you decline, the site works exactly the same — we simply do not measure your visit. You can change your choice at any time using the Cookie Preferences link in the footer of any page; withdrawing consent takes effect on your next page view.
Google Analytics collects your IP address (which Google truncates and does not store), the pages you view, and general device and browser information. It does not receive your name, email address, or phone number, and we do not use it for advertising or to build marketing profiles. Google acts as our data processor and may process this data on servers outside Kenya, including in the United States, under its own safeguards for international transfers. You can read how Google handles this data in the Google Privacy Policy, and you can block it across all websites with the Google Analytics Opt-out Browser Add-on.
9. Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated date. We encourage you to review this page periodically.
